How we collect, use and protect your personal data. Last updated January 2026.

Who we are

Roots Cleaning Services Ltd (“we”, “us”, “our”) is the data controller responsible for your personal data. We are a company registered in England and Wales, company number 17288749, with our registered office at 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom.

What data we collect

When you submit an enquiry through this website, we collect the information you choose to give us:

  • Your name
  • Your email address
  • Your phone number, if you provide one
  • The service you are interested in
  • Anything you tell us about the property in the message field

If you go on to book a clean, we will also hold the address of the property, access arrangements, and a record of the work carried out and payments made.

We do not collect special category data, and we do not ask for card or bank details through this website.

Why we use it, and our lawful basis

Under UK GDPR we must have a lawful basis for using your data. Ours are:

Responding to your enquiry and providing a quote
Legitimate interests. You have asked us to get in touch, and we cannot reply without your contact details.
Arranging and carrying out cleaning work
Performance of a contract with you.
Keeping accounting and tax records
Legal obligation.
Dealing with a complaint, dispute or insurance matter
Legitimate interests: defending or resolving claims.

We do not send marketing emails. If that ever changes, we will ask for your consent first, and you will be able to withdraw it at any time.

Who we share it with

We do not sell your data, and we do not share it for marketing. We share it only where necessary:

  • With the cleaners attending your property, who need the address and access details
  • With our accountant and, where required, HMRC
  • With professional advisers or an insurer if there is a claim or dispute
  • Where we are required to by law

How long we keep it

If you enquire but do not book, we keep your enquiry for 12 months and then delete it.

If you become a customer, we keep records relating to the work and payment for 6 years, which is the period HMRC requires for business records. After that we delete them.

Where your data is held

Your data is held on systems within the UK or the European Economic Area, or with providers covered by UK adequacy regulations or appropriate safeguards.

How we protect it

Access to enquiry and customer information is limited to the people who need it to do the work. Accounts are password protected, and this website is served over an encrypted (HTTPS) connection.

No system is completely secure. If a breach occurs that is likely to affect your rights, we will tell you and report it to the Information Commissioner's Office as required.

Cookies

This website does not use tracking or advertising cookies, and we do not run third-party analytics on it. If we add analytics in future we will update this policy and ask for your consent where required.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal data we hold about you
  • Ask us to correct anything that is inaccurate
  • Ask us to delete your data, where we have no ongoing reason to keep it
  • Ask us to restrict how we use it
  • Object to us using it on the basis of legitimate interests
  • Ask us to transfer it to another provider

To exercise any of these, email info@rootscleaningservices.co.uk. We will respond within one month. There is normally no charge.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection:
